From enquiry to booking
Missed appointments: work out what you lose, then reduce it
Every missed appointment is unused doctor time and a booking you paid for. Organised reminders cut no-shows in simple steps.
A missed appointment never appears on an invoice, which is why it is easy to underestimate. Yet it is a direct loss: a booked doctor hour left empty, and another patient who could have taken it.
Calculate the loss
Monthly loss = monthly appointments × no-show rate × average revenue per visit.
An illustrative example: 600 appointments a month, a 15% no-show rate, and SAR 500 average revenue per visit. Loss = 600 × 0.15 × 500 = SAR 45,000 a month, more than half a million riyals a year.
If you do not know your no-show rate, record it for two weeks. The number alone often changes priorities.
Why patients miss appointments
- They forgot, especially if they booked more than a week ahead.
- Their plans changed and there was no easy way to cancel or reschedule.
- They were not fully convinced when booking, and hesitated as the date came closer.
Each reason has a different fix.
Steps that reduce no-shows
- A confirmation right after booking with the time, address and map link.
- A reminder the day before, with a clear button to confirm or reschedule.
- A reminder a few hours before on the day.
- Preparation instructions where needed, so the patient is not turned away on arrival.
- A waiting list the team calls when someone cancels.
These messages run automatically through WhatsApp Business connected to the booking system, so they do not depend on a receptionist's memory.
Make cancelling easy
It may sound odd, but easier cancelling reduces no-shows. A patient who can reschedule with one tap reschedules, and you give the slot to someone else.
In practice
Record your no-show rate, switch on the confirmation and the two reminders, and review the number after a month. Every point the rate drops comes back to you as revenue without a single new patient.
